Why the order matters
A "broken" microphone is almost always a setting, not a fault. The catch is that the setting lives in one of several layers — hardware, operating system, or the individual app — and poking at them randomly wastes time. The trick is to check in order of likelihood and speed, eliminating each layer as you go.
Before you start, open our mic test in another tab. After each step below, glance at the level meter: the moment it starts moving, you've found your layer. Everything is processed inside your browser — nothing is recorded or uploaded — so test freely.
Step 1: physical switches and the connection
The most anticlimactic cause is also the most common. Check the mute switch on your headset's inline controller and on the boom itself — many headsets auto-mute when you flip the boom up. On wireless headsets, also check the mute button on the earcup and the battery level.
For wired gear, re-seat the plug and try a different USB port (directly on the PC, not through a hub). With 3.5 mm jacks, make sure you're not in the wrong hole on PCs with separate mic/headphone jacks, and that a 4-pole combo plug is going into a port that supports it. Front-panel jacks are often loosely connected inside the case — the rear ports are more trustworthy.
Step 2: the input device selector — the #1 culprit
In our experience more than half of all "mic not working" cases end here. A PC usually has several capture devices registered at once: the laptop's built-in mic, a webcam mic, your headset, and sometimes virtual audio devices. If an app is listening to the webcam across the desk instead of your headset, you sound distant and echoey — or silent.
Use the device selector in our mic test and switch devices one by one while speaking. The device that moves the meter is the one actually hearing you. Once found, set it as the default input in your OS (Windows: Settings → System → Sound; macOS: System Settings → Sound → Input) and in each app you use — Discord, Zoom and friends keep their own input settings, which is exactly the trap.
Step 3: OS permissions and input gain
On Windows, if Settings → Privacy → Microphone has 'Allow apps to access your microphone' turned off, every app goes silent. On macOS, grant access per-app under System Settings → Privacy & Security → Microphone. If the mic fails only in the browser, click the lock icon in the address bar and check the site's microphone permission.
If permissions are fine but the meter barely moves, your input gain is too low. Raise the input volume in the OS sound settings, and if there's a mic boost option, step it up gradually. The opposite problem — crackling, distorted audio — means gain is too high; aim for a level that peaks in the upper-middle of the meter without hitting the end.
When it works but sounds bad
Robotic or crackling audio is usually a transport problem: swap the USB cable or port, and for wireless receivers, move the dongle to a front port close to you. Another app holding the mic and switching sample rates can also corrupt audio — close every call app and try again.
Echo and background noise are environmental. Keep the mic about a hand's width from your mouth and away from the keyboard. Finally, use the record button in our test and listen to yourself — hearing what the other side hears is the starting point of every audio-quality fix.
